Managed Medical Inventory for EMS and Healthcare

Medical Inventory Management as a Service

Valley Medical Logistics is a managed medical-supply restocking service. We track your inventory, place orders as your agent, warehouse your stock, and keep the bins in your restock room filled, so your people can focus on patients instead of par levels.

Inventory Runs Low

Valley Medical Logistics provides inventory bins that live in your restock rooms. Your crews take what they need, when they need it.

  • Bins stay where your crews already grab supplies.
  • Crews restock the same way they already are.
  • Nobody wastes time counting stock or tracking inventory.

Your Team Scans QR

When your inventory runs low, your crews flag a bin for restock by scanning a QR code.

  • Scanning takes seconds, and works on any phone.
  • No app to install and no login to remember.
  • Your restock room keeps a second bin on hand until we resupply your team.

We Refresh Your Supply

Our system tracks what's been flagged, and we drive out to restock your stations from your own inventory.

  • Supplies come from your stock staged at our warehouse.
  • Every refill is logged in your portal.
  • Nobody on your team leaves the floor for it.

We Reorder From Your Vendors

When your warehoused stock runs down, we place orders on your accounts, on your behalf.

  • Your current vendors, at your negotiated rates.
  • No switching suppliers and no new contracts.
  • We simply act as your ordering agent.

Your Vendors Ship to Our Warehouse

Your orders ship to our warehouse instead of your supply closet.

  • We receive every delivery and check it in.
  • You own the inventory from the moment it's purchased.
  • You reclaim storage space, no longer storing boxes of excess inventory.

We Manage Your Supplies

Receiving, tracking, and accounting for your supplies is our job.

  • We chase open orders, backorders, returns, and recalls.
  • Expiration dates are tracked so soonest-expiring items get used first.
  • Lot numbers are tracked automatically for recall compliance.
The old way

Sound Familiar?

Restocking Is Somebody's Side Job.

A medic or administrator gets voluntold as “the supply person,” spending hours counting bins and running orders on top of the job they were actually hired for.

Your Inventory Hinges on That One Person.

When that person is on vacation, out on a transport, or takes a job across the valley, nobody knows what's ordered, what's low, or where anything is.

You Don't Catch Low Stock Until You're Out.

Without a reliable way to track quantities and open orders, an empty bin is the first warning you get.

You've Tried Inventory Software Before.

Every system takes more time to manage than it saves. You end up paying for something that adds work for the person it was supposed to help.

Expired Stock Is Money in the Trash.

Nobody has time to track expiration dates. Expired product gets tossed by the case, or discovered expired right when someone reaches for it.

Backorders and Recalls Fall Through the Cracks.

Open orders sit unreconciled, backorder notices get buried in email, and chasing a refund through customer service costs more than the refund is worth.

The Closet Is Stuffed, and You're Still Running Out.

Tracking hundreds of items is near impossible, so people over-order “just in case.” Your closet is overflowing with boxes while the one thing you need is out.

The VML way

Valley Medical Logistics Is Different.

We don't sell software, we handle your inventory for you.

We Do the Work.

Tell us what you want stocked on your shelves, and we handle the rest: placing orders, receiving and storing your inventory, tracking usage, and restocking your shelves.

Reclaim Your Team's Time.

Our service is hands-off. The hours your people used to spend on inventory go back to the job you actually hired them for.

A Simple System That Keeps You in Stock.

Every item is stocked with a two-bin system. Crews take what they need from the first bin. When it's empty, they flag it for restock and set it aside, and the second bin holds your team over until we restock your supply room.

Forget Learning Cumbersome Software.

We run the system and we feed it the data. Your crews only scan a QR code to flag a bin, and your admins get a simple dashboard showing inventory status. All the tracking and data entry stays with our team.

Expiration Dates Tracked for You.

We track dates on your expiry-sensitive items, rotate stock so the soonest-expiring product is used first, and handle lot numbers and supplier recalls for you.

We Chase the Vendors.

Stop managing backorders and canceled orders. Our team deals with the supply chain issues, and you keep your vendors without the headache.

Get Your Storage Space Back.

Space is limited at your facility, so your bulk stock lives in our warehouse. Our system tells us when your supply room is running low, and we handle the drive out to restock.

Your Items Remain Yours.

We never take title to your inventory, only temporary custody. It stays your property, on your accounts, at your negotiated rates. We act as your agent so you can focus on what actually matters.

Who we serve

Built for teams that can't run out

We serve healthcare organizations broadly, anywhere consumable medical supplies need to be on the shelf when they matter.

Fire & EMS agencies

Your station's restock room stays stocked between calls, without pulling crews off the floor to count and reorder.

Clinics

Your restock room stays at par so clinical staff spend their time on patients, not purchasing.

Healthcare organizations

Any organization with recurring medical-supply needs, across one site or many. The same simple system scales with you.

Plain terms

What the Service Is, in Plain Terms

Valley Medical Logistics is a managed restocking service. We are not a software company, and we are not a supplier trying to move you onto our catalog. You keep your existing distributor accounts, your vendors, and the pricing you've already negotiated. We act as your ordering agent: when your stock runs down, we place orders on your accounts, on your behalf.

Your inventory is your property at all times. When orders arrive, they ship to our warehouse, where we receive them, log them, and store them for you under temporary custody. We track quantities, lot numbers, and expiration dates, and we deliver supplies to your stations as bins empty. Title never transfers to us. If we part ways, you take your stock and your accounts with you, exactly as they were.

Inside your stations, restocking runs on a two-bin system. Crews pull from the first bin, and when it's empty, they scan the QR code on it and set it aside. The second bin covers them in the meantime. That scan is the only thing your people ever have to do. Ordering, receiving, tracking, rotation, and the restock visits are all handled by us.

There's no software to buy, no hardware to install, and no training program to run. Your administrators get a dashboard showing current stock, open orders, and expiration status, and it works the day we set up your first bins.

We handle standard medical supplies only. We do not order, store, or transport controlled substances or narcotics; those stay entirely within your existing processes.

You pay a service fee for the work. Your supply costs stay on your accounts at your rates, so you always see exactly what you're spending on product versus what you're paying us to manage it.

FAQ

Questions we're asked a lot

Do we have to give up our distributor accounts or pricing?

No. That's the whole point of our model. We order as your agent, on your accounts, at your negotiated rates. Your relationships and pricing stay exactly where they are, with you.

Who owns the supplies you warehouse?

You do. Everything we receive, store, and deliver is your property from the moment it's purchased on your account. We just handle the logistics.

Do our crews need to install an app or get logins?

No. Restocking is triggered by scanning a bin's QR code with any phone camera. No app, no login, no training. The portal (for chiefs and admins) is a simple website sign-in.

What about controlled substances?

At this time Valley Medical Logistics does not manage controlled substances or narcotics, those remain your organization's responsibility.

What can we see in the portal?

Current inventory by site with fill levels and last restock, usage over time, every order with received and backordered quantities and itemized totals, vendor cost history, and the stock we're holding for you at the warehouse. Take the tour.

What happens if a product is recalled?

Where lot numbers were recorded at receiving or restocking, we can trace exactly which of your sites and bins received stock from the affected lot, and act on it.

Where do you operate?

We're based in Utah. If you're nearby and tired of counting supplies, get in touch and we'll talk through whether we can serve you.

Ready to stop counting supplies?

Tell us about your stations, clinics, or facilities and we'll show you how managed restocking would work for your organization. We reply within one business day.
